AFEX HR Management System: Redefining Employee Management
The AFEX HR Management System was born out of the need to replace an expensive and inefficient third-party software. Collaborating with two design colleagues, I led the design initiative to create a tailored solution that addressed our company’s unique needs. Initially, we developed the Xpert Data Portal, which focused solely on the employee database but fell short of the broader vision. To realign our goals, we conducted extensive interviews with stakeholders, including company management, the talent management team, and product managers.
This informed our design process, resulting in a user-friendly and efficient HR system. The initial release featured modules for employee management, performance management, leave management, announcements, and 360-degree surveys. The current version has expanded to include payroll and budget management, further enhancing our company's HR capabilities.

Overview
A Customized HR Solution for AFEX
The AFEX HR Management System was created to replace an ineffective and costly third-party software. We focused on building an HR tool designed specifically for the company's needs, enhancing efficiency and reducing expenses.
The Vision
The aim was to craft an in-house HR system that streamlined processes like employee management and payroll, all while providing a smooth and intuitive experience for both staff and management teams. This new system would be tailored to meet the AFEX company’s exact requirements, moving away from expensive and generic alternatives.
The Challenges
The existing third-party software was both overpriced and difficult to manage. Its limited functionality failed to support essential HR tasks, creating inefficiencies. Similarly, the Xpert Data Portal was too basic, lacking the necessary features to properly handle the full range of HR responsibilities. These limitations led to frustrations, as the systems in place were not keeping up with the company’s needs.
The Approach
By conducting thorough research and engaging in regular feedback sessions with stakeholders, we designed an in-house HR platform that perfectly fits our needs. The system now includes modules for employee management, performance reviews, leave tracking, payroll, company-wide announcements, and 360-degree surveys. With added budget management features, the platform provides a full-service HR solution that is not only efficient but also cost-effective.
Our tailored HR system brings significant improvements in both usability and functionality, addressing the specific pain points of the previous software. It creates a seamless experience for the team, enhancing productivity while saving on costs.

Reflections
The AFEX HR Management System is a great example of how we can innovate and solve problems that are unique to our company. Instead of relying on costly third-party software, we took the opportunity to create an in-house system that fits our needs perfectly. The transition from the old Xpert Data Portal to this new, more advanced system reflects our commitment to continuous improvement. We worked closely with stakeholders throughout the process, ensuring that their input shaped the final product.
Now, with modules that cover everything from employee management and performance tracking to payroll and 360-degree feedback, our HR system offers a streamlined and user-friendly experience for employees and managers alike.
